The truck arrives before anyone else does. Staging goes in first because it sets the floor plan — once the decks are locked, everything else maps to them. In Haapsalu that means accounting for narrow doorways in older venues and confirming load-in access the day before, because what looks like a loading bay on a map is sometimes a kerb and a flight of steps.

Most decor decisions get made twice: once when the brief is written, once when the crew sees the room. Ceiling height, rigging points, whether the walls take tape — those variables move faster than email, so the van carries the second-choice solution and the site lead has the authority to use it.
