Narva conference rooms run long and narrow, most of them conversions from spaces built for other purposes. That shape creates two problems: sight lines from the back third of the room, and intelligible speech past the tenth row without reflections that make the presenter sound like they are arguing with themselves.

Budget follows format. A plenary session with two hundred attendees and a single presenter costs less than four breakout rooms running in parallel — you are lighting and amplifying one space instead of four, and the crew stays in one room instead of splitting. Decide your structure early. Everything else scales from that.
